About Denfords Property Management.

We specialise in the management of blocks of flats and residential property and at the present time we are managing in excess of 100 buildings as well as some 300 individual properties.
These stretch from Gosport to Ferndown and north to Salisbury and include both modern and older properties together with a number of listed buildings.
Most of our business is derived from recommendation and we pride ourselves in providing a personal service and the flexibility of being a long-standing family based business rather than a large corporate organisation.
Our Property Management Services:
These services are described below under the headings of financial management, maintenance management and corporate services management.
Financial Management
The financial management support we provide includes;
- Receiving service charges at the intervals stipulated in the lease or as agreed by the leaseholders, by standing order payments, cheque or in cash if delivered direct to our office.
- Paying appropriate maintenance invoices and insurance premiums.
- Liasing with the Management Company directors and appointed accountants for the preparation of accounts and ensuring Companies House requirements are met.
The internal financial management system we use also enables us to;
- Account by way of statement to each individual flat owner on their service charge position.
- Provide access to improved interest rates.
- Provide Management Company directors with statements of position on the general account company funding.
- To make petty cash available to an agreed site representative if required.
- Prepare annual financial accounts to trial balance for delivery to appointed accountants.
- Monies held on behalf of our clients are deposited in an interest bearing account with our bankers, Barclays Bank plc Southampton.
Maintenance Management
Maintenance under our management includes;
- Regular visits to the property and maintaining a contact in the building through whom issues and problems may be raised if preferred.
- Our availability to deal with issues and problems by telephone, fax, email or by visit to our office by the property owners.
- Arranging for maintenance work costed where necessary, assessed for impact on the overall property budgets and consultation with directors wherever necessary, maintenance works are arranged through our network of proven suppliers or, as directed by the Management Company directors to a supplier of choice.
- Where major projects need to be undertaken we arrange for general meetings to be convened inviting all flat owners so that full consultation is available, (in cases where substantial survey work or significant levels of supervision were required an additional fee would be required).
- Convening an Annual General Meeting with all flat owners invited where they have an opportunity to review the overall direction of the management company and raise any issues for discussion.
Corporate Services Management
Many of our clients have established companies for their management structure and as such require support to manage the ongoing administrative requirements. We are able to offer administrative support as follows;
- Completion of statutory annual returns to Companies House.
- Completion of director appointment & resignation submissions to Companies House.
- Liasing with appointed accountants to deliver annual accounts.
Where requirements exist for property owners to register as shareholders of the Management Company we are able to manage share transfers in liaison with the solicitors involved. Similarly, where property ownership is transferred, we provide solicitors with a Management Company information pack together with the financial details required to effect changes of ownership.
